Terms of Service

By creating an EquiSketch account you accept these terms. Please read them carefully. They form a contract between you (the “User” or “Vet”) and EquiSketch Ltd. (“we”, “us”), governed by the laws of Ireland.
1. The service
EquiSketch is a web application that helps registered veterinary surgeons in Ireland record equine identification markings on official passport charts for the supported Passport Issuing Organisations (HSI, Weatherbys Ireland, LHI, Connemara PBS, WSI and IHRA). The service augments — but does not replace — the vet's own clinical judgement.
2. Eligibility & account
- You must be a veterinary surgeon registered with the Veterinary Council of Ireland (or another EU regulator recognised by the VCI) to create an account.
- You are responsible for the accuracy of the data you enter, including microchip numbers, UELN, and horse identification details.
- Accounts are personal. Sharing sign-in credentials is prohibited. Multiple vets in the same practice should hold separate accounts.
3. Clinical responsibility
The AI-assisted description generation is a productivity aid. You remain solely responsible for the completeness and accuracy of each chart you accept and sign. No AI output should be trusted without your review.
4. Pricing & billing
Current pricing is published on our Pricing page. Subscriptions are billed monthly or annually via our payment processor. VAT is added where applicable. Cancellation takes effect at the end of the current billing period; no refunds are issued for unused time except where required by Irish consumer law.
5. Acceptable use
- No attempts to reverse-engineer, scrape, or overload the service (rate limits apply).
- No uploading of content that is not veterinary-identification-related.
- You may not use EquiSketch to produce documentation you know to be false or misleading.
6. Ownership & licence
You retain ownership of all charts, drawings, and identification data you submit (“Your Content”). You grant EquiSketch a limited, non-exclusive licence to process Your Content solely for the purpose of providing the service. We do not use Your Content to train third-party AI models.
7. Warranties & disclaimer
The service is provided “as is” and “as available”. To the extent permitted by Irish law, we disclaim all warranties, express or implied, including fitness for a particular purpose. Our liability, in the aggregate, is capped at the fees you have paid in the twelve months preceding the incident giving rise to the claim.
8. Termination
Either party may terminate this agreement at any time. On termination, we retain the data required to meet statutory records-retention obligations (five years for accepted charts); all other data is deleted per your Privacy Policy request.
9. Governing law & jurisdiction
These terms are governed by the laws of Ireland. The Irish courts have exclusive jurisdiction over any dispute arising from these terms, save for consumer rights which are not affected.
